Privacy policy
What we collect, who sees it, and how to get it back or get rid of it.
Who we are
The Design Room Quilt Show is produced by TheQuiltHub.com. Write to the show desk through the contact page for anything in this policy, including a request to see, correct, export or delete your data.
What we collect
- Account details — your name, email address, password (stored hashed, never in plain text) and, if you sign in with Google, the basic profile Google returns.
- Entrant details — your quilt photographs and their descriptions, dimensions, room choice, artist statement, PayPal address for prize money, and a delivery address so physical prizes can reach you.
- Payment details — we never see or store your card. PayPal processes the payment and returns an order reference, an amount and a status, which is what we keep as your receipt.
- Marketplace details — a buyer's delivery address, shared with the maker of the quilt they bought, for that shipment only.
- Usage data — pages viewed and basic device information through Google Analytics, plus error reports, so the site can be kept fast and working.
What we do with it
We use it to run the show: to take your entry, moderate it, present it anonymously to the panel, publish it on the show floor, pay prizes, deliver prizes, run the marketplace, and send you the emails you asked for. We do not sell your data, we do not rent our mailing list, and we do not use your quilt photographs to train machine-learning models.
Who sees what
- Judges see entry numbers, rooms, dimensions and photographs. They never see your name, location or account while judging is anonymous.
- The organiser sees everything needed to run the show.
- Sponsors never receive your personal data. They receive counts and public winner names only.
- Processors we rely on: Supabase (database and file storage), PayPal (payments and payouts), Resend (email delivery), Zoom (lectures and the reveal) and Google Analytics. Each sees only what its job requires.
You choose which categories of email you receive in your account, and every message carries an unsubscribe link. Transactional messages — receipts, moderation results, prize and payout notices — are sent regardless of preference because they concern money or your entry.
How long we keep it
Entry records and their photographs stay online with the edition's archive so past shows remain viewable. Payment and payout records are kept for seven years for accounting. Ask us to remove an image or close your account and we act within 14 days, keeping only what the law requires us to keep.
Your rights
Wherever you live, you may ask for a copy of your data, a correction, deletion, or an export, and you may withdraw marketing consent at any time. We answer within 30 days and we never charge for it.
Cookies
We use a session cookie so you can stay signed in, and Google Analytics cookies to count visits. No advertising trackers, no cross-site profiling.
Children
Accounts are for people 18 and over. A parent or guardian may enter on behalf of a younger maker using their own account.
